This policy sets out how The Past Life Therapists Association, part of Hypnotherapy South West uses and protects the information you provide when using our services and accessing this website.


We intend to ensure any data you provide is kept secure, managed respectfully and only used for the purposes for which it has been provided.


This policy will be updated periodically in line with current legislation.



What information will we collect about you?


When you contact us via our website, text, WhatsApp, telephone or email we will collect your:

Email Address

Telephone Number

Payment details and dates of purchases made (but we do not hold bank details)

Any information you choose to supply regarding the purpose of your enquiry, enrolment or membership application.


We will ask for your email address or postal address and telephone number for the purposes of sending you course material or membership, diploma certificates and general correspondence in relation to your training or the running of your Practice.



How will we use the information we collect about you?


To decide your eligibility for membership.


To enable the general public to search our Therapists Directory to check your registration status and to make contact with you.


To administer, update and maintain the Therapists Directory and the students and members databases.


To process and respond to requests, enquiries and complaints received from you or about your standards and fitness to practise


To communicate with you about our services, events and news.


To analyse trends and profiles and compile statistics


For audit purposes


To prevent or detect fraud


Your information is stored electronically on computers at Hypnotherapy South West in the form of Microsoft Excel and Word databases. These are linked together and backed up by a secure Internet based cloud facility called Dropbox.


You do not have to consent to the collection of this information; however, if you choose not to provide it, we may not be able to work with you.


Under the General Data Protection Regulations which are effective from May 2018 you have the following rights:

We will provide you with the information within 30 days of your request.


The right to rectification: this is your right to request changes to any information we hold that is factually inaccurate. If you believe any of the information is incorrect then please let us know as soon as possible and we will make the relevant changes.


The right to erasure: given the nature of our work we will hold your details for a period of 7 years or longer if your relationship with us is ongoing, after this your information will be securely destroyed.



Will we share this information with anyone else?


The right to restrict processing: We will only use the information for the purposes that we have stated above. We will not pass your information to any third party for the purposes of marketing. We do not sell, trade, or otherwise transfer to outside parties your personally identifiable information. This does not include trusted third parties such as our payment processors World Pay and PayPal who assist us in operating our website, conducting our business, or servicing you.


We uphold the common law principles of confidentiality where the duty to keep confidence is assured against the concept of ‘greater good’. If in our opinion as an organisation, if there is good reason to believe not to disclose would cause danger or serious harm to self, the association or others then the appropriate agencies may be contacted. Only information required to ensure safety of relevant parties would be disclosed.

Information may have to be disclosed without consent for the prevention, detection or prosecution of a crime. The sharing of anonymous case histories with supervisors and peer support groups is not a breach of professional confidentiality.


The right to data portability: this right is more relevant to IT companies and as your details will not shared this is not relevant.
